A busy small office in Victoria, BC is looking for a Receptionist / Secretary to join our fast-paced team. This is a great opportunity for someone looking for either or a full or part time position can be permanent.

About the Role:

Our office is extremely busy and fast-moving, with many tasks happening simultaneously. We need someone who is highly organized, detail-oriented, and able to stay focused under pressure. The ideal candidate will be comfortable handling a high volume of calls, managing a complex calendar, and coordinating multiple appointments without missing a beat. Must liaise with suppliers and clients comfortably politely and quickly. Must be very organized and loves to impose order on tasks and be very meticulous and thorough in communications and correspondence. Communicates well with team as this role is the point of first contact for the firm.

Responsibilities:

Answering and managing a high volume of phone calls with professionalism and confidence

Greeting callers on the phone in a friendly, efficient manner

Managing a complex appointment calendar, including scheduling, confirming, and adjusting meetings as needed

Assisting with paperwork, email correspondence, and data entry

Filing, organizing documents, and general office support

Providing direct administrative support to the CEO

Requirements:

Outstanding phone and communication skills

Likes to work in a structured environment.

Experience with complex calendar management and scheduling

Ability to multitask and stay calm in a high-energy, fast-paced office

Proficiency in Apple Mac OS and iPhone platforms is required

Strong organizational skills with attention to detail

Reliable, punctual, and self-directed, but not afraid to ask questions to complete tasks correctly ans quickly

Previous office or receptionist experience is an asset, but not required, Typing speed of 45 - 50 WPM an asset

Must be able to produce detailed documents and follow corporate standards for writing emails, and follow corporate naming conventions and policies to the letter in producing output for the company.

Must proof and review own work before sending it out or seeking approval for such documentation
